Furniture Coordinator Assistant

What We Need

CORPAY is currently looking to hire a Furniture Coordinator Assistant within our ALE Solutions division. This position falls under our Lodging line of business and is located in St. Charles, IL. In this role, you will be responsible for working seamlessly on a team and as an individual, to maintain the Furniture Book daily and to ensure all activities are completed to the satisfaction of the ALE customer. You will report directly to the Furniture Supervisor and collaborate regularly with vendors.

 

Role Responsibilities

In this role, you will be responsible for working seamlessly on a team and as an individual, to maintain and track all scheduled furniture activities and to ensure they are completed to the satisfaction of the customer.

 

  • Maintaining and building relationships with furniture vendors in conjunction with the Furniture Supervisor leading to the development of new and improved business procedures.
  • Ensuring the proper coordination and communication with other ALE team members who provide the policyholder with services.
  • Ordering all furniture, appliances, and house wares once order is received from RS.
  • Following up on all orders to confirm they are scheduled with the vendor, notify RS and A/NAM of delivery date.
  • Reviewing leases for correct billing prices, delivery fees, and items to be delivered resulting in the entry of FINAL pricing into ACT the day before delivery.
  • Checking each pre-app to make sure no additional items need to be quoted.
  • Updating the database regularly with all incoming initial quotes needed on new claims and tasking Coordinators on flies with special circumstances.
  • Assisting the Furniture Assistant Team when needed.
  • Making the daily Book in ACT and updating it as needed.
  • Resolving any problems with the vendor and insured. 
  • Maintaining ACT notes to include all furniture issues.
  • Assisting with answering all incoming phone calls for the Furniture Department.
  • Troubleshooting any issues that arise regarding quality, conditions of delivery and pickups or any other hurdles on behalf of customers with furniture companies and their drivers.
  • Submitting and arranging transportation requests to the customer and furniture vendor and track responses promptly.
  • Monitoring and managing multiple files with different, and sometimes conflicting, events happening at the same time in a fast-paced environment.
  • Utilizing excellent communication and coordination skills to collaborate with others including escalation to the Furniture Supervisor as needed.
  • Supplying exceptional notetaking and organizational skills to keep track of daily schedules, routes and issues as they occur. 
  • Maintaining ACT Placement Database.
  • Other duties as assigned.

 

Required Skills/Abilities:

 

  • Proficient in Microsoft Office Products.
  • ACT database experience a plus.
  • Excellent interpersonal communication skills
  • High level of professionalism
  • Ability to multitask is a must
  • Must be available to work some holidays and weekends
  • Attention to detail and accuracy are critical skills for this position.

 

Education and Experience:

 

  • College education preferred.
  • Preferred one year of customer service/hospitality experience in a fast-paced environment.

 

Physical Requirements:

  • Ability to concentrate and multi-task in a fast-paced environment.
  • Prolonged periods of sitting at a desk, talking on the phone, and working on a computer.
