Contracts Coordinator Job Description

A construction contracts coordinator is responsible for managing and coordinating contracts for construction projects. This includes audit preparation, tracking and managing revenue transactions, assist in cost reporting, and other duties as assigned related to this role.

Key Responsibilities:

  • Manage and file Contracts, Change Orders, and directives for Audit Readiness.
  • Support Project Managers on gathering the required documentation for revenue recognition including the base contract, change orders, and other directives. 
  • Support Project Managers in billing and requisitions.
  • Interface with the job costing system(s) as required. 
  • Validate documentation and that contracts are up to date. 
  • Ensure compliance with contract terms and conditions from a project financial perspective.
  • Work with the executive managers on KPIs for the operational segment of the business. 
  • Interface with 3rd party auditors and the corporate accounting group to transfer audit information.
  • Interface with the execution teams to support the contracts coordinator role.
  • Create and/or develop a contract management system to include prime contracts, subcontracts, sub-subcontracts, lien waivers, and other contractual compliance obligations. 
  • Maintain accurate records of contracts and related documentation.
  • Assist in monthly WIP Reporting by scheduling PM WIP Meetings, report management, and other duties that may be required. 

Qualifications:

  • Bachelor's degree in construction management, business administration, or a related field.
  • Experience in contract management, preferably in the construction industry.
  • Very strong communication skills.
  • Ability to work independently and as part of a team.
  • Strong organizational and time management skills.
  • Proficiency in basic windows applications and accounting software.
