Summary

 

Manages the daily operations at the Events Department. Must be able to work a flexible schedule, supervise staff, interact with a diverse population of people, keep records, maintain equipment and be creative in problem solving and program development.

Program Manager Essential Duties

  • Oversees team member recruitment, hiring and training systems, conducts regular evaluations
  • Reviews current and future requirements from needs assessments and develops both short- and long-range plans to anticipate and meet those needs
  • Develops, implements, and monitors goals, objectives, policies, and priorities for specific area and department's overall goals, policies, ordinances, and applicable governing rules, regulations, and guidelines
  • Prepares and reviews reports and manuals (after action reports; program planning worksheets; operation manuals) as part of the process of monitoring and communicating the organization's performance
  • Develops, tracks, and reports on key performance indicators on a monthly, quarterly, and annual basis
  • Develops and monitors expenditures for federal, state, and local funds for the assigned area
  • Monitors contracts and contractors to ensure compliance with contractual obligations
  • Oversees the acceptance, reception, and collection of all payments following set financial control procedures
  • Prepares and recommends major purchases, capital expenditures and budget requests following set financial control procedures
  • Investigates and responds to complaints from citizens concerning staff, instructors, programs, and facilities
  • Ensures proper maintenance of assigned facilities and equipment
  • Responsible for asset and inventory management and ensures proper maintenance for assigned facilities and equipment
  • Reviews safety procedures and protocols for assigned areas and monitors daily operations and adheres to federal, state, local and health and safety regulations
  • Manages data in City software systems
  • Organizes, prioritizes, and assigns work activities for athletics programs and facilities
  • Prioritizes work activities to meet objectives; ensures subordinates have the proper resources needed to complete the assigned work

Special Event Program Manager Site Specific Duties

  • Partners with the Communication and Marketing Department to promote programs through recreation publications, newsletters, flyers, and other media
  • Staying abreast of trends in marketing, entertainment, music, and community interests
  • Manages budgets for special events; books outdoor event venues and solicits sponsors
  • Maintains knowledge about permit application process, city ordinances and city policies, coordinating with other departments and media outlets
  • Acts as a liaison to organize and conduct event meetings, arranging facilities, coordinating press, and inviting individuals and groups

Minimum Qualifications

  • Bachelor’s degree in Parks & Recreation, Tourism Development and Management, Event Management, or similar field of study
  • Five (5) years’ experience in related field to include three (3) years’ experience in a supervisory role
  • Or equivalent combination of education and experience

Certificates, Licenses, Registrations

  • Valid driver’s license
  • CPR/AED certification or able to obtain within 6 months of hiring
  • Certified Parks & Recreation Professional (CPRP) or able to obtain within one (1) year of hiring
  • Active membership in local, state-wide, or national special event and parks and recreation associations within 6 months of hiring
  • Certified Festival and Event Executive (CFEE) or able to attain within one (1) year of hiring
